Key Responsibilities:
Calendar and Schedule Management:
– Manage directors’ calendars, schedules, and appointments.
– Coordinate internal and external meetings, including logistics, agendas, and materials preparation.
– Prioritize and arrange conflicting commitments to ensure optimal time utilization.
Travel and Expense Management:
– Process travel expenses, reconcile receipts, and submit timely expense reports for the directors.
– Coordinate complex travel arrangements, including flights, accommodations, and transportation.
– Prepare detailed itineraries and travel packs for executives.
Communication and Correspondence:
– Draft, review, and edit correspondence, emails, reports, and presentations.
– Screen and handle incoming calls, emails, and other forms of communication.
– Respond to inquiries and requests on behalf of Directors, providing necessary information or redirecting to appropriate parties.
Meeting and Event Coordination:
– Organize and facilitate executive-level meetings, conferences, and events.
– Prepare meeting agendas, take minutes, and distribute action items.
– Coordinate with internal and external stakeholders to ensure smooth event logistics.
Information Management:
– Maintain confidential and sensitive information with utmost discretion.
– Create and maintain filing systems, databases, and document repositories.
– Retrieve and organize data, reports, and presentations as needed.
Relationship Management:
– Build and maintain positive working relationships with internal and external stakeholders.
– Act as a liaison between executives and other team members, departments, and external contacts.
– Collaborate with cross-functional teams to support projects and initiatives.
Special Projects and Initiatives:
– Assist with special projects, research, and analysis as assigned by Directors.
– Contribute to process improvement efforts and provide innovative ideas to enhance productivity and efficiency.
Qualifications and Skills:
– Bachelor’s degree in Business Administration, Communications, or a related field.
– Proven experience as an Executive Assistant or in a similar role, preferably supporting C-level executives.
– Strong organizational and multitasking abilities with excellent time management skills.
– Exceptional verbal and written communication skills.
– Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
– Discretion and ability to handle sensitive and confidential information.
– Strong problem-solving skills and attention to detail.
– Ability to work independently, exercise good judgment, and prioritize tasks effectively to meet the deadlines.
– Flexibility to adapt to changing priorities and work well under pressure.
– Strong interpersonal skills and the ability to work collaboratively with cross-functional teams.
* Female Candidate Required with minimum 2 years experience in the same role.
Job Type: Full-time
Pay: ₹300,000.00 – ₹400,000.00 per year
Ability to commute/relocate:
Rohini, Delhi, Delhi: Reliably commute or planning to relocate before starting work (Preferred)
