Key Responsibilities:
Administrative Responsibilities:
Customer Service & Communication:
Serve as the primary point of contact for tenants, clients, vendors, and external stakeholders.
Handle phone calls, emails, and inquiries from tenants, government agencies, and vendors, directing them to appropriate departments.
Maintain positive relationships with tenants, government officials, contractors, and vendors.
Office Management & Documentation:
Maintain accurate and up-to-date administrative files, records, and documents for real estate transactions, facility management, and government correspondence.
Prepare reports, memos, and other documents related to facility operations, real estate management, and regulatory matters.
Ensure compliance with company policies and legal regulations in all administrative tasks.
Scheduling & Calendar Management:
Manage scheduling for property showings, tenant meetings, facility inspections, and meetings with local government representatives.
Coordinate appointments for lease renewals, contract signings, and government-related processes.
Real Estate Responsibilities:
Leasing & Tenant Relations:
Assist with leasing processes including property showings, lease negotiations, and lease signings.
Respond to tenant inquiries regarding rental terms, property features, availability, and other real estate matters.
Address tenant concerns, resolve issues promptly, and maintain positive tenant relations.
Lease Administration & Documentation:
Prepare and manage lease agreements, renewals, and terminations.
Ensure that lease terms comply with local laws, property regulations, and company policies.
Maintain accurate records of tenant information, lease dates, and payment histories.
Property Market Research & Marketing:
Conduct market research to stay updated on current real estate trends, rental rates, and competitive pricing.
Assist with property listing creation and ensure proper online presence across various real estate platforms.
Help develop marketing materials (flyers, social media posts) to attract prospective tenants.
Facility Management Responsibilities:
Building Operations & Maintenance:
Oversee the day-to-day operations of the facilities, ensuring safety, cleanliness, and proper functioning of all systems (e.g., HVAC, plumbing, electrical).
Schedule and coordinate regular maintenance, repairs, and inspections.
Work closely with maintenance teams and contractors to address building-related issues.
Vendor & Contractor Coordination:
Manage relationships with vendors and contractors providing services such as cleaning, landscaping, security, and facility repairs.
Ensure all vendor contracts are up to date and that vendors meet service level agreements (SLAs).
Track vendor performance and resolve any disputes or performance issues.
Health & Safety Compliance:
Ensure all facilities are in compliance with health and safety regulations, including fire safety, emergency preparedness, and cleanliness standards.
Conduct regular safety checks and inspections to identify hazards or maintenance needs.
Oversee emergency evacuation drills and ensure proper safety equipment is in place.
Local Government Liaison Responsibilities:
Government Relations & Communication:
Act as the primary point of contact between the company and local government authorities (e.g., city, county, zoning boards, public safety).
Maintain strong relationships with local government representatives, agencies, and regulatory bodies.
Ensure the company is informed about relevant regulations, codes, and laws that affect real estate, property management, and facility operations.
Permit and Licensing Management:
Coordinate with local authorities to obtain necessary permits, licenses, and approvals for real estate transactions, renovations, or facility-related activities.
Ensure compliance with zoning regulations, land use policies, and building codes.
Assist with the application process for any government-required permits or licenses for new developments or improvements.
Regulatory Compliance & Reporting:
Monitor and ensure compliance with local government regulations regarding property management, building codes, and safety standards.
Maintain up-to-date knowledge of any new or changing local government policies that may affect operations.
Prepare and submit reports or documents required by local government agencies (e.g., inspections, environmental compliance, taxes).
Community Engagement & Advocacy:
Represent the company in local government meetings, public hearings, and community events.
Advocate for the company’s interests in meetings with government officials, ensuring that city policies and regulations support the company’s operations.
Collaborate with local government to implement community development or improvement projects.
Job Type: Full-time
Pay: ₹600,000.00 – ₹800,000.00 per year
