Job Description
Ø Provide professional and efficient service to Visitors/clients and staff.
Ø Serve visitors by greeting, welcoming, directing and announcing them appropriately.
Ø Greet all Visitors/clients and staff in a pleasant and courteous manner to create a positive first impression of the company.
Ø Answer and route all telephone calls in a professional and courteous manner.
Ø Responsible for Communicating with Clients, Receiving Calls, Attending Visitors, Maintaining Clients Records.
Ø Arrange and distribute couriers and mail promptly.
Ø Maintain professional presentation of the reception area and ensure proper personal grooming.
Ø Ensuring timely updating of the Extension list.
Ø Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
Ø Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Ø Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Ø Provide basic and accurate information in-person and via phone/email.
Ø Receive, sort and distribute daily mail/deliveries.
Ø Maintain office security by following safety procedures and controlling access via the reception desk monitor logbook, issue visitor badges.
Ø Maintain the daily cleanliness of meeting rooms, Discussion rooms, Board Rooms, Reception Lobby, and keep stationery supply levels consistent on requirement basis.
Ø On a daily basis keep meeting rooms clean & tidy by ensuring the cleanliness on a regular basis.
Ø Inventory management of pantry items on a monthly basis.
Ø Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Requirements
a. Proven work experience as a Receptionist, Front Office Representative or similar role
b. Proficiency in Microsoft Office
c. Hands-on experience with office equipment (e.g., fax machines and printers)
d. Professional attitude and appearance
e. Solid written and verbal communication skills
f. Ability to be resourceful and proactive when issues arise
g. Excellent organizational skills
h. Multitasking and time-management skills, with the ability to prioritize tasks
i. Customer service attitude
j. High school degree; additional certification in Office Management is a plus
